Gelpke and Bate Limited is an importer and distributor of chemicals and food ingredients. Established in the 1920s Gelpke and Bate has always been involved with the handling of hazardous goods, particularly specialising in flammable substances. Since the 1990’s however, the firm has actively diversified into other areas, including food stuffs and ready packed chemicals. Their client base is widely varied, from small, owner managed enterprises to national pharmaceutical, cosmetic and paint companies.
Operations and Quality manager Mike Brooks has known members of the Safeware team personally for a number of years. It was only recently, however, that Gelpke and Bate purchased one of the modules from Safeware. They had previously been using a competitor’s module.
According to Mike he was keen to switch to Safeware. “It was a hard slog,” he says. “My predecessor was using the former product. However, when it became apparent that they weren’t interested in looking after their product, we got straight in touch with Safeware.”
Gelpke and Bate are currently using the SDS Professional package from Safeware, and are looking into the labelling package from the firm. Mike believes the Gelpke and Bate staff that are currently using the software have extolled the virtues, especially in comparison with its forerunner.
“It’s important to get used to the nuances of something, and once we did we found it to be user friendly and logical. There is still work to do in terms of getting used to the software, and seeing how we can develop with it, but we are making tremendous progress and are pleased with it so far.
“I went to a REACH seminar with Hazi Mistry recently, and it struck me that Safeware are truly committed to the market. They want to be there, helping people, which is very reassuring. It’s not every day that you buy a new piece of software, so when you do you need someone that not only has been there, ready to assist when it was needed, but also someone who will be there for support. Safeware are there when we need them.”

Brenntag is a chemical distribution company that was first established in Germany over 125 years ago and has since grown to become a multinational business, currently employing over 8500 people across the world. The UK saw the arrival of Brenntag in the 1970’s and has grown with the National storage and distribution centre located in Lutterworth Leicestershire and offices in Kingswinford, West Midlands. Their services appeal to various industries, having customers that include pharmaceutical manufacturers, food, cosmetic and cleaning companies.
Brenntag has been using Safeware Quasar Ltd since 2001 after Rob Hughes, quality health and safety environmental manager, learnt of the company through Hibiscus, the specialists in label production, management and support.
Rob comments: “I chose to use Safeware as I found that they were a very professional company that offered good products along with excellent support. They have supplied us with the safety data sheet system, which is not only beneficial to us but also for our customers.

CASE STUDY: Star Uretech Ltd
For Blackburn-based Star Uretech Ltd, Safeware Quasar's software is simple, straightforward and a significant time-saver, but is much more besides. After years of working with another system that failed to fully meet the company's needs, Star Uretech's Gary Demaine says: "What we have now is how we imagined it should be, but didn't believe could really happen."
Star Uretech was founded in 2001 to develop and manufacture urethane resin adhesives, bindings and coatings, selling mainly to the construction industry. The 16-strong company's produces a wide range of items, including high friction surfacing to increase the skid resistance of roads, coatings used to waterproof buildings and create damp proof membranes and bonding for rubber crumb surfaces, a popular choice for playgrounds and sports facilities.
The company had originally turned to another software supplier to produce its safety data sheets and meet labelling requirements. Factory manager Gary Demaine explains: "It seemed to offer a decent quality of software at a price the company could afford. Unfortunately, the labelling software package didn't work for us."
The way that Star Uretech works means that it does not require large quantities of identical labels at a time: instead, it produces bespoke labels for each order, making flexibility in creating the content essential. Unfortunately, the existing system was so complex that it could take a couple of hours to produce a single batch of labels.
When Gary joined Star Uretech in January 2006, the supplier had been working to improve the efficiency of the software but with dissatisfaction continuing to grow, the company decided to seek an alternative software supplier. Safeware was the first name in the frame.
Gary says: "Many of us had come across Safeware in the past, when working for different employers - for example, I first met the company's Hazi Mistry about ten years ago - and we were well aware of their capability. We were already sold on the idea of Safeware - we just needed a few questions answered and various minor details sorted out."
Safeware's SDS Pro module and labelling software provided by Hibiscus, with whom Safeware works closely, were installed in May 2008 and Star Uretech hasn't looked back since. Time spent in producing labels has been slashed from hours to minutes and Gary has nothing but praise for the simplicity of the new system, as well as Safeware's back-up - which he describes as "spot on" - and training.
He says: "SDS Pro is so much easier and much more straightforward to use, which you can tell just by sitting in front of it for ten minutes.
"The labelling software not only gives us more control from an administrative system, but the old system was so complex that only a couple of people could use. Now there is less data to input and we'll be able to set up templates, so that colleagues from the shop floor will be able to use it as well - and we won't have to spend valuable time looking over their shoulders."

CASE STUDY: JAMES BRIGGS ITW LIMITED
Mention the name James Briggs ITW Limited to most people, and it probably won’t ring many bells. Yet this Greater Manchester-based company is one of Europe’s largest contract manufacturers of aerosols and consumer chemicals, and while its own name may not be a household one, products it makes for clients may be a little more familiar.
There’s Hycote, for example, the popular paint brand for cars and other vehicles, Addit engine additives and maintenance products, the Nilco range of cleaners for commercial and industrial uses and – probably the best known – Antiquax polishes and care products, for materials including wood, marble and glass, as used in stately homes and historic buildings worldwide.
James Briggs has come a long way since the firm was founded in 1830 in the north of England, specialising in chemical lubricants for the local textile industry. Now it employs a total of around 220 people at two seven-acre sites, in Oldham and nearby Chadderton, and can produce 60 million aerosols and 30 million litres of bulk products each year.
For around two decades, the company has used Safeware Quasar products, including SDS Professional. Andrew Taylor, James Briggs’ Technical Services Manager, says: “SDS Pro is an essential tool – we couldn’t generate our safety data without it.”
Andrew remembers a time when hazard labelling was created by manually checking and interpreting the regulations, but with much tighter controls now in place, plus a huge chemicals portfolio – James Briggs has 8,000 product formulations and intermediates on file – SDS Pro has become an integral part of the business.
He explains: “Over the years, we have worked with Safeware Quasar to tailor the product to our business requirements. We now have a system that is integrated with our mainframe computers, so that we can draw information back out of SDS Pro to generate items such as hazard labels and dangerous goods notes.
“It is also linked in to our research and development laboratory, which allows our chemists to use it as a formulatory tool. In other words, if a client has specific parameters – for example, to develop a product which displays no harmful symbols or associated phrases – SDS Pro will assist that process.”
James Briggs is such a well-established user of SDS Professional that Andrew is more than happy to recommend it, and he and his company have hosted visits to their manufacturing site by other businesses interested in seeing the system in action. Andrew says: “Our database is vast, probably the largest SDS Pro has ever dealt with: if it can handle that, it can cope with anything.”

CASE STUDY: Castle Colours
Castle Colours, based in Burslem, Stoke-on-Trent and part of a family-owned business, has been manufacturing and supplying colouring systems to the heavy clay industry, to use in producing attractive bricks, pavers and roof and floor tiles, for almost two decades. The company, which employs around 25 people, is a main player in the sector in the UK and also has customers in Europe.
Stuart, Castle Colours' technical director, first came to the company around four years ago. At the time, he says: "Our health and safety data sheets were limited to being produced on an as and when required basis."
Immediately, Stuart designed a Microsoft Word template to improve the record-keeping of material safety data sheets (MSDSs) and support more effective working practices.
The company deals with around 200 raw materials, both natural and synthetic, although none represents a major hazard - the main danger is dust, as many are in powder form, which is controlled by limits on respirable components. However with the new European REACH regulations coming into force from 2007 - creating a central database of all chemicals used in Europe, with new responsibilities for manufacturers and distributors to identify and communicate risk management measures - Stuart knew it was time for Castle Colours to move forward.
He investigated database systems and after he had seen SDS Professional in action at a company that had recommended it to him, Castle Colours installed the software in May 2007. Stuart is delighted with the results. He says: "It is very user-friendly and the customer support has been excellent. I can ask any question - and I stress that they have been questions and queries, rather than problems.
"There have been one or two areas that needed fine tuning and the Safeware team has thought outside the box to come up with modifications to make the software more specific to our needs, without affecting Safeware's ability to issue regular updates."
SDS Pro links seamlessly with Castle Colours' Hibiscus system, a labelling solution for the chemicals industry, for consistency throughout the operation. Since 1990 Safeware has provided the company with high quality software which ensures legal requirements are adhered to, in addition to creating an efficient and effective way of working.

In 1995, when challenged with the changes in legislation ruling the supply of materials under COSHH and CHIP, the company’s health and safety consultants advised the directors to consult Safeware Quasar.

ARDEX specialises in the development, manufacture and marketing of tiling and flooring products and adhesives. A German company, ARDEX has been operating in the UK since the 1960s and has gone on to become a world leader in providing sub-floor smoothing compounds, resin flooring systems, floor covering adhesives, repair mortars, floor screeds, damp proof membranes, tile adhesives and grouts.
As a high-profile market leader, ARDEX UK needed a safety data sheet software solution that allowed them to match the fast pace set by their global customers.
“We were operating a German software package through our parent company,” explains Mike Langdon, Technical Support Manager at ARDEX UK.

Dr David Ellis of Palintest said: “We’d been having a bit of bother with the previous package we were using, and the Dangerous Goods Safety Advisor at another firm we work with had raved about Safeware.”
Dr Ellis goes onto say “The old package that was replaced by SDS Professional, didn’t have any way of doing the transport element – the DGSA had to calculate it all and send it to another department for review. Depending on what he was doing it could take a week to produce one sheet. Now the software allows us to do that in one go and its minutes rather than days to complete it.”

Clorox may not be a household name – at least, not yet – in the UK, but its bleach is used by an estimated eight out of ten homes in the United States, where the company began life in Oakland, California, in 1913.
Today the company’s laundry and home cleaning products are sold in more than 100 countries across Africa, Asia, North America, South America and in Europe, where its operations include offices in London and Moscow and a manufacturing plant in South Wales, employing around 50 people in total.
Since 2003, the European operation has developed a successful working relationship with Safeware Quasar, following a recommendation to Simon Walsh, general manager of Clorox in Europe, from a contact who had previously been a client of Safeware.
He explains: “We originally needed someone to provide European standard safety data sheets (SDSs) for products imported from the States and the relationship has grown from there to include consultancy services.
“Safeware has advised us on regulatory issues, such as the REACH regulations, which has been a great benefit to us. In the US, the company has an in-house regulatory team who monitor such issues for Clorox.
“We don’t have any regulatory staff in Europe, although we are developing that capacity, so it is very important that we have someone who can keep us up to speed. For that, we rely on Safeware.
“For the last four years, we have also attended Safeware’s annual user conference, which we have found very useful in keeping up to date with current issues and they always have informative speakers. We thoroughly enjoy working with Safeware and expect to be doing so for some time to come.”

Established in 1938, Martin Colour Company Ltd has, for nearly seven decades, manufactured inorganic ceramic colours.
In 1995, when challenged with the changes in legislation ruling the supply of materials under COSHH and CHIP, the company’s health and safety consultants advised the directors to consult Safeware Quasar.
Following the initial meeting with Simon Robinson, the decision was taken to invest in a Safeware system linked to a compatible labelling system. Time has proved that taking this route was fortuitous if the company was to avoid contravening the regulations in force.
Over the years since the system was installed, Safeware has updated all changes in the regulations enabling the company to maintain its legal obligation for compliance.
On rare occasions when assistance is required in clarifying a particular query, a remote access link with the software team resolves the problem in minutes.
Director Paul Martin comments: “On a visit from a factory inspector we were asked how we prepared our labelling and MSDS sheets. After informing him about our working relationship with Safeware, he said we needn’t say anymore! CASE STUDY: The Garland Company
The Garland Company began life in Ohio in 1895 when 16-year-old JB Wise borrowed $100 from older brother Sam to purchase the Garland Refining Company. Today the company has grown to become a leading US manufacturer and worldwide distributor of high-performance waterproof roofing and building maintenance systems and services.
That growth has included setting up a UK sales operation in Gloucester in 2001, where a 17-strong team looks after clients, mainly in local government and other public sector organisations, for Garland’s systems.
To import materials from Garland’s Cleveland manufacturing plant – some of it defined as hazardous – requires safety data sheets (SDSs) and health and safety and other documentation compliant with European Union (EU) regulations. In 2007, that requirement led the Garland Company UK to Safeware Quasar.
Managing director Tim Jones explains: “We were using US SDSs but we needed someone that could take those and convert them to EU standards. After we did an internet search and found Safeware, we began talking to Simon Robinson there.
“Although we also spoke to a couple of other firms, we eventually chose to work with Safeware. They seemed to know what they were talking about and to offer more and we have found that they are good people to work with.”
Safeware liaised with the technical team in Garland’s Cleveland laboratories, then used their expertise in European regulatory requirements to prepare EU-compliant SDSs. Tim says: “Effectively, they have taken apart the information from the US and put it back together as it should be for EU purposes, with minimal disruption.
“Safeware have done a remarkable job in bridging the gap between US and EU requirements and have also been a pleasure to work with. Luck played a part in finding them and we certainly struck lucky when we did.”
